Description


A. Job Details

Position title: Executive Assistant
Reports to: Partners & Managing Directors (up to 3)
Engagement: Full-time (8 hours per day)
Purpose:
The purpose of this position is to:
• Provide comprehensive administrative support to the partners
• Support in Board related matters


B. Key Accountabilities

Administrative support
1. Manage and maintain partners’ calendars
2. Organize business travel logistics and accommodations (car, flight, hotel)
3. Organize and schedule client and internal meetings, take care of logistics and coordinate equipment arrangements
4. Organize client and internal events, take care of logistics and coordinate equipment arrangements
5. Organize and execute any activities related to client deliverables (e.g. proofreading, printing, binding, couriering, etc.)
6. Develop working relationships with external clients and their assistants to facilitate collaboration
7. Input data into partner’s contact database ensuring utmost accuracy
8. Organize and maintain filing system (both electronic and paper)
9. Prepare weekly project timesheet and expense reports
10. Receive, screen, sort and prioritize all incoming mail and email, respond to inquiries as needed
11. Provide reasonable assistance with personal tasks where feasible
12. Maintain highest level of internal and external confidentiality
13. Carry out general administrative/office support, typing, telephone, mail, copying, faxing, filing, calendar functions, voice mail, e-mail distribution lists, and office related tasks
14. File and maintain all business cases and contracts as well as related paperwork and documentation as required
15. Prepare and distribute reports where required and applicable
16. Prepare documentation for meetings and disseminate accurate information in a timely manner

Board and practice meetings (where applicable)
1. Coordinate meetings, arrange conference bridges, reserve conference rooms and organize food service
2. Prepare and circulate meeting agendas/materials and attend meetings
3. Take and distribute meeting notes and follow-up on action items
4. Provide administrative support to all board and segment events
5. Maintain meetings information filing system

D. Requirements and Qualifications

• Bachelor’s Degree required
• 4-5 years of experience as Executive Assistant supporting C-Level Executives or Managing Directors
• Strong interpersonal skills
• Knowledge in the management consulting industry is a plus
• Fluency in English and Arabic languages

Daily: Contact partners for coordination & assistance
Weekly:
- Contact staff for ad-hoc support
- Contact travel agencies/ hotels/ transportation for travel arrangements
- Contact third parties for logistics, supplies, and services
