o Greet customers and guests in a cheerful and respectful manner
o Provide services for customers / company guests and top Management when needed
o Promptly and courteously answer the telephone and direct calls to appropriate personnel
o Provide administrative support to all departments as required including but not limited to (making phone calls, faxing, typing support, preparing labels, codes & stickers, photocopies, filing, binding and other administrative duties…)
o Record messages accurately and legibly
o Forward messages to appropriate parties in a timely manner
o Facilitate the efficient flow of mail through the office
o Receive, direct and relay telephone messages and fax messages
o Maintain an adequate inventory of office supplies
o Coordinate the repair and maintenance of office equipment
o Develop and maintain a current and accurate filing system
o Prepare & update project summaries, job order logs and daily production report
o Allocate time sheets of all employees in all departments in job costing on specific job orders
o Open job orders in Visual Dolphin (Finished product in stock master, manufacturing order in assembly)
as well as in job costing (sub jobs and estimation & quotation).
o Perform other related duties
As may be assigned by the Management.
Minimum High school or equivalent Technical degree
Technical Knowledge and Skills Required
Good computer knowledge – MS office (Word + Excel)
Ability to follow oral and written instructions in Arabic and English.
Abilities and personal characteristics:
Excellent communication skills; ability to absorb difficult situations and handling colleagues’ requests in a mutually respectful manner.
Well organized and highly punctual
Responsible and trust worthy.
Ability to work under pressure and with time restraints.
Minimum 1 year of experience in administrative position
