• Provide administrative assistance to legal staff in law office and enhance office effectiveness & coordination
• Handling all payments related to office expenses
• Executing a weekly computer backup on a routine basis
• Scheduling and preparing the conference room(s)
• Handling all office supplies and stationary orders from suppliers
• Managing schedules, including trial dates and hearings of the legal team
• Monitoring deadlines and juggling calendars as per request
• Coordinating appointments, meetings, and business travel of the law office members as needed
• Planning, supporting, and implementing logistics for any of the law office members as per request
• Maintaining a persistent and accurate filing management system by creating files for each lawyer, client etc. and by keeping a photocopy of any document in its respective file, backup with a reliable and accurate directory
• Preparing and dispatching a daily log report to the manager stating all tasks performed/executed
• Answering, directing phone calls and maintaining a log registry of all incoming and outgoing calls with all necessary info about the caller
• Bachelor’s Degree or Diploma or Proven working experience as legal admin assistant or legal secretary
• Computer literacy (Ms. Office Tools: Excel, Word, Outlook etc.)
• Proficiency in Arabic, French and English
• Excellent secretarial and organizational skills
• Ability to juggle multiple activities and work under pressure
