Description


Responsibilities
• Organize and assist the daily activities and workload of the General Manager
• Prepare presentations using Excel, PowerPoint and Word documents
• Develop and compile reports (Daily/Weekly/Monthly)
• Follow up on Marketing and advertising requirements
• Setup and coordinate meetings and conferences. Take minutes of meeting
• Support staff, sales and other departments on assigned projects as advised by the General Manager
• Research, price, and purchase office furniture and supplies.
• Maintain confidential records
• Develop and maintain a proper structure of company’s hard copy and electronic filing system.
• Provide office orientation for new employees.
• Setup accommodation and entertainment arrangements for company’s visitors.
• Meet and greet clients and visitors.
• Meet with individuals, special interest companies and others on behalf of the General Manager.
• Sign for and distribute documents, packages and reports
• Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.
• Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies and verifying receipt of supplies.
• Coordinate and maintain records for staff office space, phones, parking, warehouse, office keys, etc
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• Answer general phone inquiries using a professional manner and direct them to appropriate members
• Other duties as assigned by the General Manager

Skills
• Excellent organization, reading, writing, and interpersonal skills required.
• Excellent presentation skills with good knowledge in Microsoft Office (Outlook, Word, Excel, PowerPoint).
• Fluent in English and Arabic and has good communication skills
• At least two years experience in the related field
