Answer all incoming telephone calls and dispose of properly via appropriate transfer, taking a message, sending faxes, or follow-up and return call
Monitor and ensure that the reception area is kept tidy and projects a professional image.
Greets and receives company visitors and guests courteously try to understand their needs and transfer them to the appropriate department that responds to their needs.
Assists in maintaining and updating telephone directories and event schedules via computerized data base when notified of changes in order to access correct information.
Acknowledges receipt of incoming documents and ensures that these are given to the recipient immediately.
Dial employee and management requested numbers
Greet all people who have meetings with all managers, and with the HR and IT department.
Effectively coordinating work processes between maintenance department and clients
Fill out furniture maintenance form and give it to the appropriate department
Manage and maintain schedules, appointments and invitations arrangements for the chairman.
Perform clerical duties as necessary( sending emails, typing documents…)
Provide full admin support by completing all tasks as delegated by all departments (e.g. Call companies, suppliers.... to collect their checks, request statements
