Description


The company is looking to recruit a competent executive secretary, who will contribute to the overall efficiency of the business by ensuring the administrative duties to be carried on timely and efficiently.
Desired Skills:
•Presentable
•Age Between 23 & 28
•Read and analyze incoming memos, submissions, and reports
• Assist executives and other managerial staff with a variety of tasks.
• Delegate duties such as typing, copying, and scanning.
• Open, sort, and distribute incoming correspondences: phone calls, faxes, emails, letters and packages.
• File and retrieve corporate documents, records, and reports.
• Greet visitors and determine whether they should be given access to specific individuals.
• Prepare responses to correspondence containing routine inquiries.
• Ensure performance goals are met and set deadlines.
• Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
• Prepare agendas and make arrangements for committee, and other meetings.
• Make travel arrangements for executives.
• Handle confidential documents and maintain they remain secure.
• Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.
• Attend and preside over meetings with clients and keep minutes.
• Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping, in order to aid executives.
• Communicating with the client to ensure that their needs are met.
• Deal with customers and external agencies.
• Present campaign ideas to client.
• Create presentations for meetings.
• Data analysis and interpretation
• Effective communication with others
• Awareness of diversity and cultural differences
• Excellent MS Office skills including Excel, PowerPoint and Outlook.
• Can work under pressure.
