Looking to hire a Secretary/Front Office for a company specializing in food distribution and related equipment in Saifi, Achrafieh
· Receiving, transferring and recording all phone calls.
· Assisting the General Managers: calls, timetable, meetings, correspondence
· Sending and receiving emails, faxes, couriers.
· Welcoming and greeting visitors in a professional manner.
· Purchases: stationery, office supplies, receipt and delivery books
· Smooth running of the office: machinery in working order, kitchen stocked, recycling being picked up
· Appearance and restocking of the office showroom
· Suppliers: renewing and monitoring suppliers contracts and office visits
· Staff attendance: daily monitoring on fingerprint machine, completing leave, sick and emergency requests
· Updating databases
· Conducting research and compiling information as needed
· Petty cash
· Legal papers of the company
· Mobile phone recharges
· Uniforms: managing stock, orders, distribution to staff
· Company cars: managing the insurance, mechanic, drivers licenses, driving permits, branding, repairs, maintenance
· Supervising the office cleaners’ duties and schedule.
· Shipments: tracking and following up on all air and sea shipments
· Travel and hotel arrangements for staff and visitors
Fluent in spoken and written Arabic and English
Presentable and professional
Focused, efficient and organized, detail oriented
Minimum of 3 years experience in administration
Working hours:Mon – Fri from 7:30am – 5:30pm
