MUC University is looking for an Administrative Officer with minimum 2 years of experience.
Job responsibilities:
-Give the new students information about the whole academic procedures.
-Filling the application for unregistered students willing to register.
-Follow up with these students until they register and schedule 2nd meetings for scholarship discussion (using Dropbox Application).
-Register student data on the system.
-Sign up the new registered students for English Entrance Exam.
-Give the registered student a tutorial session about Student portal.
-Preparing students’ files that includes admission letter, contract sheet, academic calendar and the ID student card prepared by the IT department.
-Checking up if classes are ready to be delivered smoothly.
-Filing the students’ documents (Hard and soft copies by scanning and uploading them on the system).
-Monitoring daily attendance report for students.
-Processing all petition forms (Attendance Petition - Petition for Make-up exam – Changing Major Petition).
-Student Plan follow up (Mobile services)
-Preparing exam seats by matching student ID with the seat number assigned (Pinned the paper on the boards)
-Make sure students have the exam card from the accounting department
-To follow up with students’ needs and requests, as well as, check their claims and complaints if there are.
-Following up with the IT department and System responsible to prepare and activate instructor portals at the beginning of each semester.
-Checking if all instructors attend their classes regularly.
-Checking if the attendance is being uploaded on the instructors’ systems.
-Preparing class lists.
-Coordinate issues between instructors and students.
-Retrieve instructors’ evaluations from the system.
-Supports faculties in exam scheduling.
-Supports faculties in their events as required by the department.
-Manage student clearance forms and prepare business transcripts after the approval of the head of department + review the certificates prepared by the other chairs (Technology and Arts departments) + hand the certificates to the graduates.
-Preparing exhibition tools.
-Support the marketing department in its school yearly visits.
Requirements & Skills:
- BA in Business Administration or similar field
- Proven work experience as an administrative Officer Registrar.
- Fluent in English
- Strong Communication Skills
