1. Dealing with incoming e-mail, faxes and post.
2. Preparing correspondence including writing e-mails, letters, notes, memos, drafts, minutes etc… taking dictation and typing.
3. Producing documents, briefing papers, reports and presentations including power point presentations.
4. Handling all administrative documentations, reports and materials for presentations.
5. Setting up travel arrangements.
6. Setting up accommodation and entertainment arrangements for company visitors.
7. Coordinating events in Lebanon and abroad including hotel bookings, flights, and social programs in designated country.
8. Maintaining calendar.
9. Organizing and maintaining diaries.
10. Setting up and coordinating appointment schedules, meetings and conferences.
11. Making preparations for meeting and attending meetings
12. Creating, writing and distributing meeting agendas and minutes.
13. Answering telephone calls and handling them in an appropriate manner by giving information to callers, taking messages, or transferring calls to appropriate individuals.
14. Screening telephone calls, enquiries and requests, and handling them in an appropriate manner.
15. Meeting and greeting clients and visitors.
16. Operating office equipment such as fax machine, copiers and phone systems and using computer for spreadsheet, word processing, data base management and other applications.
17. Performing general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
18. Setting up and maintaining paper and electronic filing system for records correspondence and other material, including data management.
19. Researching price of goods, supplies and services.
20. Make purchases of goods, supplies and services as well as arranging payments.
21. Managing property and various sites in Lebanon.
22. Keeping expense records.
23. Maintaining a high level of confidentiality at all times.
24. Being a team player at all times.
25. Undertaking any reasonable request as directed by the person she answers to.
