ORGANIZATIONAL FOCUS & SCOPE
 Leads weekly operation meetings with the department, with the Minutes of Meeting being sent
out soon afterwards to the Facility Management Teams, Sales, Procurement and Area Managers.
 Mentors the Team Leaders/Supervisors and Mobile Teams on how to deal with clients, be
presentable, helpful and polite with them.
 Mentors the Team Leaders/Supervisors and Mobile Teams on how to ensure the client feels that
the team is there for his/her benefit, by acting as Client Representatives rather than simply
contractors.
INSTRUCTIONAL FOCUS & SCOPE
 Supervises and trains project team members as necessary.
 Ensures all project staff is equipped with all the required tools, uniform, and machinery needed at
all times.
 Ensures all project staff is on time and working efficiently.
 Ensures all project staff’s well-being is taken care of.
 Ensures all project staff driving company vehicles are:
o Driving safely and abiding by Traffic Rules.
o Keeping the vehicles clean and in good condition.
o Using the vehicle for company purposes only.
o Delivering the Fuel Consumption Invoices to the Accounting Department on time.
 Submits project scheduling in advance and Project Progress Reporting to the Area
Manager/Managing Director and/or the Client on agreed intervals.
 Ensures the project teams are briefed and aware of their required tasks ahead of time.
 Provides the client/consultant/etc. with the required documents, drawings, submittals, samples,
approvals, handing over invoices and payments.
 Supports the Client Account Manager during the presentation of this report to the client.
 Schedule, coordinate and oversee the maintenance contracts of Sub Contractors such as Generator
and Elevator companies.
 Establishes good relations with the Sub Contractors such as Generator and Elevator companies to
ensure smooth operation
 Performs Regular Spot Checks on the Team Leaders/Supervisors and Mobile Teams to ensure all
operations are running on schedule.
 Coordinates with the Sales Department to create the Maintenance Checklists custom-designed for
each client and in coordination with the scope of work agreed by contract.
 Ensures that the Team Leaders/Supervisors and Mobile Teams are performing these maintenance
checklists in full by keeping track of the reports and following up on any pending issues that need
attention.
 Provides internal site updates to the Area Manager/Managing Director for all sites being handled
by the Project Engineer; including pictures, drawings, etc.
 Tracks and reports all project variations to the necessary parties regarding the BOQ, Pricing
changes and ensuring client coordination for any re-measurable items.
 Reports all communications in writing both internally and with the client.
EXECUTIVE FOCUS & SCOPE
 Prepares specifications for purchase of materials and equipment
 Investigates and tests vendors' and competitors' products.
 Requests all the materials for site execution with a lead time of at least 2 working days.
 Schedules and Oversees Annual Preventive Maintenance of each Project.
 Contributes and Approves the Annual Preventive Maintenance Report of each Project
encompassing all photographic, video and written substance submitted by the Site Supervisor.
 Ensures delivery of all materials to the client by issuing Delivery Notes and in coordination with
the Accounting Department.
 Ensures all petty cash and other supplier invoices are delivered to the Accounting Department on
time and in detail.
 Ensures all items delivered to the client are eventually invoiced or returned to the store.
 Takes the correct initiative in daily tasks by considering the relative costs and benefits of
potential actions and their effect on the client and the company.
