The American University of Technology is looking for “Administrative Assistant for the Registrar office” :
1) Answering to all requests sent by email (requests from the Registrar, other campuses, other departments), to answer to all requests in a timely matter on hourly basis,
2) Answering phone calls from students and parents to answer and provide any requested info and service on hourly basis,
3) Checking the eligibility of students to get their enrollment certificates for NSSF, Banks, Embassies, Ext. (if registered, major, year, file), prepare the document for review by the Assistant registrar and Signature by the registrar on daily basis,
4) Alfa/MTC requests, handling all requests from students, checking their files and reporting to Student Affairs Office on weekly basis,
5) Preparing and communication with students and courier (Aramex) concerning WES documents
6) Update students records on the system as well as course offering as requested by the Registrar
7) Update information concerning the student from their clearance for graduation on the system (full name, phone number, email)
8) Filing the clearance of graduation (checking their files: BAC II) to be cleared academically by the Assistant registrar and Registrar,
9) Coordinating with the registrar’s office representatives in all other campuses to provide the needed information and support on daily basis (Enrollments, Diplomas, Course offering update, Ext.)
10) Filing all incoming students records from all faculties and campuses (enrollments, change of major, grades, Ext.) in the office and in the archive,
11) Posting announcement (course offering, final exams...) all over the campus.
12) Prepare the clearance for graduation in an excel file to be printed
13) Delivering Issued diplomas to graduates after preparing their official documents
14) Checking and Labeling all incoming files from the admissions department as well as entering GR credits for them on the system on daily basis,
15) Scanning original documents and fill it in the excel file as requested by the government.
16) Collaborating and assisting the Registrar with various tasks to include, but not limited to the following: Database research for processing of student transcripts. Photo copying, scanning and filing and perform other duties and responsibilities as requested,
17) Handling the transfer of paper between the Registrar’s office and all other departments in Halat Campus.
* Minimum Requirements:
- Bachelor Degree
- Minimum 5 years of experience in academic field , registrar and students services
- Good knowledge of written and spoken Arabic and English
- Good Communication Skills
- Team player
- Computer Literate
- Knowledge in Banner or power campus system
