Position Summary
Responsible for the front office management and for assisting the department in administrative assignments when needed.
Primary Duties and Responsibilities
Front Office Management
Guests Reception
Admin care
-Handles front office reception and administrative activities
-Greets visitors upon their arrival and provides appropriate assistance and information
-Ensures immediate involvement of the relevant department upon any incoming complaint/ request
-Maintains safe and clean reception area by complying with procedures, rules and regulations
-Receives, sorts and distributes documents to teams if needed
-Ensures Housekeepers are following the cleanliness protocol
-Upon request, organizes, sorts and archives documents including vouchers, transactions slips, invoices, receipts, etc. by classifying them by source, type and date along with their supporting documents
-Orders office supplies for team members upon need and maintains stock records
-Ensures the department admin needs are met and coordinates with Admin team on supplying them with needed items ahead of time
-Prepares labels & correspondence deliveries when needed
Knowledge, Skills, and Abilities
Qualifications:
-Bachelor's degree in business administration, Information Documentation, or Technical Degree in Database Administration or equivalent
Technical Skills:
-Fully proficient in English and Arabic, French is a plus
-Proficiency in Microsoft Office Suite especially in Excel
-Experience in library or database administration and record keeping
Relevant experience:
1-3 years
