Job Title: Document Controller
Job Role:
Document Controller plays a vital role in managing and controlling the circulation of documents between the departments, projects, and outside parties. The main responsibilities include preparing and maintaining healthy filing system, for both digital and physical documentation, archiving files and ensuring all team members have easy access to necessary documentation as per access rights, and track documents through a well-designed and strict tracking system.
Main Tasks and responsibilities:
• Create, revise, and maintain documents in both digital and physical formats.
• Ensure documents are organized, labeled, and stored appropriately in accordance with the established filing system.
• Implement and maintain document control procedures to ensure consistency and accuracy.
• Facilitate the controlled distribution of documents to relevant departments, projects, and external parties.
• Monitor and track the circulation of documents, ensuring timely receipt and acknowledgment.
• Set up and manage access rights for team members to ensure appropriate levels of access to confidential and sensitive documentation.
• Regularly review and update access permissions based on project requirements and personnel changes.
• Develop and maintain an efficient archiving system for both physical and digital documents.
• Ensure easy retrieval of archived documents when needed, maintaining a balance between accessibility and security.
• Establish a robust tracking system to monitor the movement of documents throughout their lifecycle.
• Generate regular reports on document status, including distribution, revisions, and approvals.
• Ensure that document management processes comply with legal standards and regulations.
• Collaborate with project management teams to understand document requirements for different phases of projects.
• Collaborate with engineering teams to capture, organize, and control technical documentation.
• Offer support and assistance to ensure that team members can effectively use the document management system.
• Identify and rectify any discrepancies or errors in document control processes.
• Maintain confidentiality around sensitive information and terms of agreement
Requirements:
• Certificate in Document Control and Records Management (CDCRM) is a plus
• A minimum of 3 years of hands-on experience as a Document Controller or similar role
• Familiarity with project management
• Basic knowledge in engineering documentation (design, construction, project management).
• Advanced skills in MS Office and MS Excel
• Proficient typing and editing skills
• Data organization skills
• Attention to detail
