Description


The assistant of faculty reports directly to the Dean providing organizational and high-level of administrative support to the faculty. Responsibilities typically include communication between the Dean’s office and other academic divisions, ensuring the smooth running of the office.
He / She will provide several duties related to the office, the students, and the coordinators in addition to advising tasks.

DUTIES & RESPONSABILITIES
• Answer, screen and transfer inbound phone calls
• Receive and direct all visitors, students, faculty staff etc.
• Maintain general clerical duties including photocopying, fax and mailing
• Maintain electronic and hard copy filing system
• Maintain up-to-date files; keep files current
• Handle requests for information and data
• Prepare/maintain databases as needed.
• Prepare and modify documents including correspondence, reports, drafts, memos and emails.
• Schedule and Coordinate faculty meetings
• Prepare agendas for meetings and schedules
• Record, compile, transcribe and distribute minutes of meeting
• Coordinates various communications and activities among the Dean and instructors and between the instructors and students.
• Collect course offering from coordinators and send it in one draft to the Dean.
• Assist in academic registration period, printing, and students’ guidance.
• Collect exams, syllabus, final grades and CAF (course archive file)
• Follow up on instructors’ absences and make up sessions
• Prepare instructors’ attendance report
• Follow up on students absences, collect reports.
• Prepare final exam schedule and assist in proctoring
• Assist in organizing and arranging workshops and exhibitions
• Assist in preparing purchase orders for the department
• Support and assist the Dean, faculty and students within the Faculty programs.
• Maintain Program records and files, including student and faculty files. Handle these in a confidential way.
• Follow up with instructors on weekly basis regarding, test, exams, results, etc...
• Responsibilities include, but are not limited to all the above mentioned tasks.

• Educational Level:
o Bachelor degree
o Ability to work under pressure
o Organizational skills.
o Enthusiasm for continual learning
o Problem Solving
o Minimum 5 years of experience in an administrative job
