Job Scope:
The Archives Senior Officer is in charge of receiving, classifying and organizing all type of records related to group while maintaining utmost confidentially and respecting all policies and procedures in place.
Main Duties and Responsibilities:
. Receive, classify and archive all type of files of documents as per procedure;
· Collect documents and records from all departments on daily basis and follow up with all concerned in order to receive the documents on time;
· Organize, classify and label all documents received by type, date, etc.;
· Prepare Control report in order to control the documents and Jvs received;
· Prepare and send report related to controlling all JVs/documents received and not received to manager according to the related procedure;
· Fill in the log of “Daily request”;
· Retrieve, print and submit the needed documents as requested by users and approved by manager
· Fill and control the stock “forms and booklets” in order to prepare all needed purchase requests;
· Handle the department’s purchase requests;
· Fill in the checklist “document retention” on yearly basis with the existing records duration and time frame for safeguarding and submit it to the manager;
· Review and control all received forms on daily basis before seeking the manager’s approval;
· Review and re-organize the space with respect to the Map in coordination with the manager;
· Fill in the “Preventive maintenance and safety” checklist and submit to manager on monthly basis;
· Inform manager of all kind of users’ requests, and proceed according to the manager’s instruction;
· Participate and assist in managing and organizing the space in the room, highlighting to manager alarming physical conditions and ensuring proper conditions are respected in terms of humidity, fire, leakage, etc.;
· Perform other job-related duties as assigned.
Education
Bachelor’s Degree in Documentation, Information Science or equivalent
