This role is pivotal in ensuring the smooth operation of our office and facilitating effective communication between various departments. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently.

Job Scope
The Executive Assistant will provide comprehensive administrative support to senior executives, including managing schedules, coordinating meetings, preparing reports, and handling correspondence. This position requires a high level of professionalism and discretion as it involves working closely with top management and external stakeholders.

Duties and Responsibilities

Manage executive calendars by scheduling appointments, meetings, and travel arrangements.
Prepare agendas for meetings and take detailed minutes to ensure accurate records.
Coordinate logistics for internal and external events, including conferences and client meetings.
Draft, review, and send communications on behalf of executives.
Conduct research and compile data for reports or presentations as needed.
Maintain filing systems (both electronic and paper) for easy retrieval of documents.
Assist in project management tasks by tracking deadlines and deliverables.
Liaise with other departments to facilitate information flow within the organization.
Handle confidential information with integrity and professionalism.
Perform other administrative duties as assigned by executives.

Skills, Knowledge and Experience Required

Bachelor’s degree in Business Administration or related field preferred.
Minimum of 5 years of experience as an Executive Assistant or in a similar role within a corporate environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
Excellent verbal and written communication skills; ability to communicate effectively with all levels of staff and external partners.
Strong organizational skills with the ability to prioritize tasks effectively under pressure.
High level of attention to detail; accuracy is essential in all aspects of work.
Ability to maintain confidentiality regarding sensitive information.
Strong problem-solving skills; proactive approach to identifying issues before they arise.
